GENERAL DESCRIPTION OF POSITION

As a Plant Administrator, you will play a key role in ensuring the smooth operations and administrative functions of the plant or suite of plants. You will have the opportunity to work in a fast-paced environment, collaborating with various departments to help facilitate daily operations. You will assist the Plant Manager in required reporting.  Perform purchasing functions as necessary to ensure an adequate supply of consumables and repair parts. Assists in establishing procedures and preparing reports.  

 

ESSENTIAL DUTIES AND RESPONSIBILITIES

  • Provide essential administrative support to plant management, including scheduling meetings, arranging travel accommodations, and maintaining calendars.
  • Create and maintain accurate records for inventory, maintenance, monthly operating reports, personnel files, and other records.  Maintain correct records per corporate record retention management policies.
  • Process incoming and outgoing correspondence, including emails, phone calls, and mail.  Interface with contractors and vendors as necessary to ensure all required maintenance and parts requirements are met.
  • Prepare other reports, presentations, and documents as required by plant management.
  • Coordinate logistics for plant events and employee training programs.
  • Assist in the preparation of plant budgets, recommend needed improvements, and track expenses.  Maintain a relationship with and work with local county officials to make sure property tax or all aspects of PILOT payments are scheduled properly.
  • Collaborate with other departments to ensure the efficient flow of information and documentation.
  • Responsible for majority of all purchasing phases including, requisitions, issuing Purchase orders, processing all invoices and verifying charges; handling invoice discepancies, billing errors or tax errors.  This involves working with vendors and AECC accounts payable to ensure prompt accurate payment.
  • Tracks monthly compliance data and maintains compliance records for environmental and other regulatory audits.
  • Processes monthly expense reports for company credit cards tracking expenditures for travel and local purchases.
  • Complies with Cooperative Safety standards and approved practices for the protection of all personnel.  Can be called into service to assist with safety related requirements and monitoring.
  • Adheres to all applicable internal policies and procedures regarding NERC and FERC compliance and participates in training to ensure compliance.
  • The ability to handle stress and work well with others are essential functions of this position.
  • Performs any other related duties as required or assigned.
  • Due to our obligation to provide continuous, reliable electric service to our customers, the ability to maintain regular and punctual attendance and the ability to work outside your regularly scheduled office hours when necessary is an essential function of the job.
  • Maintain awareness of and compliance with applicable laws and regulations from various regulatory entities, internal policies, procedures, and directives. Ensure ongoing monitoring and timely incorporation of any changes to maintain adherence to compliance standards.

MINIMUM QUALIFICATIONS

  • 2-4 years of experience in an administrative role, preferably in a plant or industrial setting with inventory management experience.

REQUIRED CERTIFICATES, LICENSES, REGISTRATIONS

  • Valid Drivers’ License with safe driving record.

Somewhat disagreeable working conditions. Continuously exposed to one or two elements such as noise, intermittent standing, walking, and pushing, carrying, or lifting. May involve some travel and/or work is at times, in the evening or during the night hours. 

PHYSICAL ACTIVITIES

While performing the functions of this job, the employee is occasionally exposed to work near moving mechanical parts, work in high, precarious places, fumes or airborne particles, toxic or caustic chemicals, outdoor weather conditions, extreme heat, risk of electrical shock. The noise level in the work environment is usually moderate.

Moderate diversity, low physical. Work activities which allow for a moderate amount of diversity in the performance of tasks which are not as varied as those positions with high-level diversity and decision-making.


While performing the functions of this job, the employee is continuously required to talk or hear; regularly required to sit; frequently required to walk; and occasionally required to stand, use hands to finger, handle, or feel, reach with hands and arms, climb or balance, stoop, kneel, crouch, or crawl. The employee must occasionally lift and/or move up to 50 pounds. Specific vision abilities required by this job include close vision; distance vision; and color vision.

ADDITIONAL INFORMATION

  • This position is designated as safety‑sensitive based on the duties performed. Employees in safety‑sensitive positions must comply with the Cooperative’s fitness‑for‑duty requirements  and all applicable federal and state regulations governing workplace substance use and safety.
  • Proficient in Microsoft Office Suite and other relevant software applications.
  • Exceptional organizational and multitasking abilities.
  • Strong attention to detail and accuracy.
  • Excellent verbal and written communication skills.
  • Ability to work effectively in a fast-paced and dynamic environment.
  • Knowledge of Power Plant Operations and Utility Industry is a plus ability to maintain confidentiality and handle sensitive information with discretion.
